How we work
Four stages. What you get at each one, and what you do not, is written down before we start.
Stage 0
Free Fit Call
A 20 to 30 minute conversation about one process you want to improve. It is not a free company-wide review.
What you get at this stage
You leave with a clear answer on whether the process is a good fit, the next step we recommend, and the information that step needs.
What the call covers▾
- We clarify the problem, how often it repeats and which systems it touches.
- We identify who owns the process, how sensitive the data is and how urgent the work is.
- We define together what you want to be different at the end.
If it fits, we propose the paid audit. If it does not, we say so plainly.
The free call does not include
- ×A complete process map
- ×An ROI guarantee or detailed savings calculation
- ×Technical architecture
- ×Vendor comparison
- ×An implementation roadmap
- ×A free prototype
Stage 1
Automation Audit and Plan
A fixed-fee review that turns the process findings into a documented plan and a decision on whether a pilot is worthwhile.
What you get at this stage
A process map, a prioritised list of opportunities, a target workflow and a written pilot proposal.
Full deliverable list▾
- Current-state process map
- Bottleneck, failure and opportunity register
- Baseline measurements and assumptions
- Prioritisation by value, feasibility and risk
- Target-state workflow
- Data, integration, security and human-control map
- Pilot brief with scope, exclusions, acceptance metrics and rollback
- Cost categories and an estimated implementation window
- A go, iterate, postpone or stop recommendation
One draft, one review session and the corrections we agree on. Assumptions are shown separately from measured facts. Subject to the contract, the plan is yours even if you do not commission the pilot.
Outside the Audit scope
- ×Production deployment
- ×Penetration test or formal security certification
- ×Legal or regulatory opinion
- ×Guaranteed savings or ROI
Discovery is limited to the agreed scope
Stage 2
Fixed-scope Paid Pilot
We test one workflow in a controlled setting before expanding it. That means one process, one owner, limited integrations, a small dataset that represents the real thing, and either a separate test environment or a clearly limited slice of production.
What you get at this stage
A working workflow, acceptance criteria agreed up front, human approval points and a rollback plan.
Everything the pilot defines▾
- In-scope and out-of-scope steps
- Baseline and the success metrics we choose
- Test data and edge cases
- Human approval points
- Failure, timeout and fallback behaviour
- Cost and latency limits
- Logging and retention boundaries
- Who signs off acceptance
- Rollback or safe-disable method
We choose the acceptance metrics together at the start: cycle time, manual touches per case, first-response time, error and escalation rates. A working demo on its own is never acceptance.
Stage 3
Monthly Automation Management
Offered only after a suitable Audit or a successful Pilot. The point is to keep an accepted system working and observable.
What you get at this stage
Monitoring, incident triage within agreed hours, updates within a change allowance, and a monthly operating report.
Everything that can be included▾
- Workflow health monitoring
- Incident triage within agreed hours
- Usage, cost, latency and error review
- Prompt, model and rule updates within a change allowance
- Small integration maintenance and regular accuracy checks
- Monthly operating report and improvement suggestions
Support hours, response targets, severity levels, maintenance window, included change capacity, third-party dependencies and handover terms are defined in the proposal or SOW only.
Excluded unless contracted
- ×No 24/7 response
- ×No guaranteed uptime
- ×No unlimited feature development
- ×No new products or major integrations
- ×Third-party subscription and usage fees are separate
- ×No responsibility for provider outages, policy decisions or price changes
- ×No legal monitoring or compliance certification
